ArtemisNorth — Policies, Terms and Community Guidelines

Covering all services, spaces and offerings including TechAlchemy consulting and the TechAlchemy Community.

These terms apply to all services and experiences offered by ArtemisNorth, including the website, consulting, workshops, digital products, AI-powered tools, and virtual spaces hosted on platforms such as Rippily.

1. Community Guidelines (Code of Conduct)

Welcome. If you're kind, you're in the right place.

This is a safe, inclusive space for founders, makers, and humans who can act like it. We're here to create, learn, and connect — not to audition for "Most Exhausting Person in the Room."

The non-negotiables

  • Be respectful. Full stop.
  • Disagree without being disrespectful.
  • If you mess up, own it, fix it, move on. No spirals. No tantrums.
  • No shaming, no judging, no snarky "help." This includes skill level, pace, tools, learning style, body, identity, background, or where someone is at in their life.

Zero tolerance means zero tolerance

You will be removed for:

  • Hate speech, harassment, bullying, or threats
  • Bigotry of any kind, including "jokes," dog whistles, and "I'm just being honest"
  • Sexual harassment or creepy behavior
  • Rudeness, intimidation, dogpiling, or trying to make the room unsafe for others

If you're wondering where the line is, you're already too close to it.

Content and shared materials

Room names, visuals, presentations, and shared content must not include:

  • Discriminatory language or stereotypes
  • Culturally appropriative imagery or "spiritual aesthetics" you don't have a genuine connection to
  • Anything that turns someone's identity into your décor

Express your truth. Not someone else's culture.

Moderation

Moderation exists to protect the community, not to debate you.

  • Decisions are made based on what keeps the space safe and functional
  • We don't owe warnings, explanations, or a back-and-forth
  • If you think a decision was a mistake, you can message me politely and I'll review it
  • If you come in hot, the answer is no

Paid events: behavior and refunds

If you're removed from a paid event for violating these guidelines, there is no refund. That's the deal.

Recording policy

  • The host may record sessions when appropriate and legal, and will inform participants if that's happening
  • Participants may not record anything without written permission
  • Screenshots for personal reference are okay unless stated otherwise
  • Do not share screenshots or quotes outside this community without permission

2) Terms & Conditions

2.1 Scope of Services

ArtemisNorth helps creative entrepreneurs and independent business owners identify bottlenecks in their digital workflows, design a tech stack that supports how their brain actually works, and build systems that are simple enough to use consistently. The scope of work for any engagement is based on what we agree to in writing — booking details, invoice notes, or a written plan.

2.2 Educational Use Only

Consulting, workshops, templates, AI-powered tools, and all educational content are provided for informational and educational purposes only. Nothing I provide constitutes legal, accounting, tax, financial, medical, or professional IT security advice. If you need that level of guidance, you're responsible for working with a qualified professional.

2.3 No Guarantees

I'll bring strategy, structure, and clear next steps. I do not guarantee specific results. Outcomes depend on your follow-through, decisions, existing systems, budget, timing, third-party tools, and factors outside my control.

2.4 Tools and Vendor Independence

Any tools, services, platforms, or workflows I recommend are suggestions based on your goals and constraints. Unless explicitly stated in writing, I am not affiliated with, sponsored by, or compensated by those companies.

2.5 Third-Party Platforms and Changes

Your experience may rely on third-party platforms and services. I cannot control and am not responsible for third-party uptime, outages, feature changes, pricing changes, policy changes, data handling practices, or discontinued products.

2.6 Client Responsibilities

You are responsible for maintaining your own accounts, passwords, billing, and access settings for any tools you use. You are also responsible for backups, exports, and retention of your own content and business materials. If you choose to grant me access to any of your accounts, you can revoke that access at any time.

2.7 AI Tools and Output Review

Some ArtemisNorth tools use AI to generate outputs — including the TechAlchemy Energy Audit and the Daily Morning Check-in. If we use or discuss AI tools in any context, you are responsible for reviewing and verifying outputs before publishing, sending, or acting on them. AI can be wrong, biased, or outdated. Human judgment is always required.

2.8 Confidentiality

I treat client information as confidential and use it only to deliver the services you have requested. I do not sell client information. Some services — including payments, scheduling, email, and community access — are delivered through third-party providers described in the Privacy section below.

2.9 Recording and Transcripts

Workshops: I do not record workshops. Attendees may not record, screenshot, or redistribute workshop content without explicit written permission.

Consultations: Consultations are not recorded by default. Recording and transcripts are available only with your explicit opt-in. If you opt in, I will confirm consent again at the start of the session before recording begins. You can withdraw consent at any time and recording will stop immediately.

2.10 Technical Issues

Online services depend on internet connections and third-party platforms. You are responsible for your own device setup and connection. If a technical issue on my side prevents delivery of a scheduled session or event, I will offer a reasonable remedy — reschedule, credit, or refund depending on the situation. If the issue is on your side, remedies are not guaranteed and are handled case by case.

2.11 Intellectual Property

All materials I provide — including slides, worksheets, templates, written plans, downloads, AI-generated summaries produced during our sessions, and any recordings or transcripts if provided — are for your personal or internal business use only unless we agree otherwise in writing. You may not copy, resell, redistribute, publish, or share them publicly without written permission.

2.12 Payments, Chargebacks, and Access

Payments are processed through third-party providers. If a payment is disputed, reversed, or charged back, I may suspend or revoke access to services, events, community spaces, or digital products until the issue is resolved.

2.13 Removal from Spaces

This is a private space. I may remove content, limit access, or remove participants at my discretion to protect the community. If you violate the Community Guidelines, you may be removed immediately.

2.14 Governing Law

These terms are governed by the laws of the Province of Ontario, Canada.

3) Refund & Cancellation Policy

3.1 Workshops and Live Events (including events hosted in Rippily)

  • Full refund if requested 7 or more days before the event start time
  • Within 7 days: no refunds; when possible I may offer a credit toward a future event of the same value
  • No-shows: no refunds
  • If I cancel: you choose a full refund or a reschedule/credit
  • Removed for behavior: if you are removed from a paid event for violating these guidelines, there is no refund

3.2 Consultations (1:1)

  • Free reschedule or cancellation if requested at least 48 hours before the session
  • Late cancellations (under 48 hours) and no-shows: no refund
  • At 48 hours or less, the session may be rescheduled at my discretion depending on availability

3.3 Digital Products

Digital downloads are non-refundable once delivered or downloaded, except in the case of a legitimate technical access issue.

4) Privacy Policy

This policy applies to all personal information collected through ArtemisNorth services, tools, and spaces. ArtemisNorth is operated by Lynn May, Ontario, Canada.

4.1 What I collect

Depending on how you interact with ArtemisNorth, I may collect:

  • Name and email address
  • Booking details including date, time, time zone, and any booking form answers
  • Purchase and payment confirmation details (I do not receive or store your full card number)
  • Participation details in virtual spaces such as display name, messages, and moderation actions
  • Messages you send me via email, support requests, or contact form submissions
  • Voice recordings or transcripts submitted voluntarily as part of the pre-session intake process (via Vocaroo)
  • Consultation recordings and transcripts only if you explicitly opt in
  • Responses entered into AI-powered tools such as the TechAlchemy Energy Audit and Daily Morning Check-in (processed via the Anthropic API and not stored by ArtemisNorth)

4.2 Tools and service providers I use

I use third-party services to run operations and deliver services:

  • Rippily (virtual spaces, events, community)
  • Stripe (payment processing)
  • Gumroad (digital product sales and delivery)
  • SendFox (email newsletter and updates)
  • TidyCal (calendar bookings and scheduling)
  • Vocaroo (voluntary pre-session voice recordings submitted by clients)
  • Anthropic API (AI processing for TechAlchemy Energy Audit and Daily Morning Check-in tools)
  • Website hosting and basic website tools (to operate and secure the site)

These providers may process personal information outside of Canada depending on where their servers and staff are located.

4.3 How I store working notes

For client work, I keep working notes locally in Obsidian. These notes are not publicly shared and are used only to provide the services you requested.

4.4 Why I use your information

I use personal information to:

  • Deliver services and products you request
  • Process payments and provide access
  • Send booking confirmations and reminders
  • Send newsletters and updates you opted into
  • Provide support and keep the community safe

4.5 Your rights (Ontario/Canada — PIPEDA)

Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you have the right to:

  • Request access to the personal information I hold about you
  • Request correction of inaccurate or incomplete information
  • Withdraw consent to the collection or use of your information (subject to legal or contractual obligations)

4.6 Your rights (European visitors — GDPR)

If you are located in the European Economic Area, you have additional rights under the General Data Protection Regulation (GDPR), including:

  • The right to access your personal data
  • The right to correct inaccurate data
  • The right to erasure ("right to be forgotten")
  • The right to restrict or object to processing
  • The right to data portability
  • The right to lodge a complaint with your local supervisory authority

The legal basis for processing your data is legitimate interest and/or the performance of a contract (delivering the services you requested). To exercise any of these rights, contact me at artemis@artemisnorth.com.

4.7 How long I keep information

  • Business records are kept as long as needed for operations and legal or accounting purposes
  • Voice recordings submitted via Vocaroo are managed and deleted by you directly through the Vocaroo platform
  • Consultation recordings and transcripts (if you opt in): kept for 30 days then deleted, unless you request deletion sooner
  • AI tool responses: not stored by ArtemisNorth beyond the session

  • Educational only: Nothing I provide is legal, financial, tax, medical, or professional IT security advice
  • No guarantees: Results vary based on implementation, follow-through, and circumstances outside my control
  • Third-party tools: Platforms can change features or pricing and can have outages
  • AI outputs: Must be reviewed and verified by you before use
  • Recording: Workshops are not recorded. Consultations are opt-in only.
  • Vocaroo recordings: Submitted voluntarily by clients as part of pre-session intake. Managed and deleted by the client through the Vocaroo platform.

6) Agreement

By purchasing, booking, accessing, or participating in any ArtemisNorth services or spaces, you agree to this document in full.
